Our non profit and charity AI policy template can be used by any organisation to create its own bespoke AI policy and road map to ensure its use of AI is ethical, effective and keeps the charity and its community safe.  This webpage is a very short, simple overview of the full toolkit, which also includes annexes. Charity AI Policy - Ethics and Governance

This AI governance and ethics framework has been developed to ensure that the use of AI within our charity is ethical and legal, by meeting high standards of fairness, accountability, transparency, privacy, and non-discrimination in developing, running, and overseeing any AI systems we commission, create, develop, manage or use.

Applicability of This Charity AI Policy

This policy applies to all trustees, other volunteers, employees, contractors, and third-party representatives working on our behalf.  Its requirements should be reflected in other policies and procedures, agreements and contracts, as necessary.

AI Definition

We define Artificial Intelligence (AI) as the ability of machines or software to perform tasks that would normally require human intelligence. AI systems can process data, learn from it, and make decisions or predictions based on that data.  AI is a broad field that encompasses many different types of systems and approaches to machine intelligence, including rule-base AI, machine learning, neural networks, natural language processing and robotics.

Core Principles for Responsible AI Use

  • Safety & Security: AI systems must be robust, secure, and protected against misuse, cyber threats, and data breaches.
  • Transparency: Clearly explain how AI works, how decisions are made, and when AI is used in communications or services.
  • Fairness: Avoid bias and discrimination in all AI activities, especially those affecting vulnerable groups.
  • Accountability: Assign responsibility for AI decisions, maintain human oversight, and ensure clear reporting lines.
  • Redress: Enable people to challenge AI decisions and seek remedies if harmed or disadvantaged.

Governance & Oversight for Charities

  • Appoint an AI lead trustee or committee to oversee AI use and risks.
  • Review AI systems, risks, and policies at least annually.
  • Update safeguarding, data protection, and online safety policies to include AI.
  • Ensure compliance with UK laws on data protection, safeguarding, equality, and online safety.
  • Keep records of AI decisions and ensure final decisions are always made by a human.

Practical Safeguards to Prevent AI Abuse

  • Use only trusted, reputable AI tools and platforms.
  • Clearly label AI-generated content, images, and videos.
  • Avoid sharing high-resolution images or sensitive data that could be misused for deepfakes or scams.
  • Moderate AI-generated content to prevent errors, bias, misinformation, or harm.
  • Train staff and volunteers to spot and respond to AI risks, including deepfakes, impersonation, and online bullying.
  • Encourage regular reviews of AI use and update procedures as technology evolves.

Protecting Vulnerable Groups: Children, Women, and High-Risk Communities

  • Children: Strictly follow data protection and safeguarding laws. Use age-appropriate privacy notices and consent forms. Monitor for harmful or illegal content and provide clear reporting routes.
  • Women: Regularly check for and address gender bias in AI systems. Respond quickly to harassment, abuse, or deepfake risks. Include women’s voices in decisions about AI use.
  • High-Risk Communities: Use strong moderation to prevent hate speech and targeted attacks. Work closely with community members to ensure AI is respectful and safe. Be extra careful with sensitive data and privacy.

Responsible Decision Making & Human Oversight

  • Final decisions affecting people are always made by a human, not AI alone.
  • Keep an audit trail of AI input for transparency and accountability.
  • Make AI systems accessible and understandable for all users, including those with limited technical skills.

Supporting & Training Staff and Volunteers

  • Provide training so everyone can use AI safely and effectively.
  • Encourage staff to check, adapt, and improve AI outputs, rather than using them blindly.
  • Support staff and volunteers to help beneficiaries stay safe from AI-related risks.

Engaging Beneficiaries and Stakeholders

  • Involve beneficiaries and stakeholders in decisions about AI use.
  • Communicate openly about how AI is used and how it affects services.
  • Ensure AI-generated content respects the dignity and wishes of individuals.
